Trevin. A unique joint venture in the form of a Shared Service Centre. Set up as an independent cooperative for and by the Intermaris Hoeksteen, Wooncompagnie and Woonwaard Noord-Kennemerland housing associations. The organisation is active in the area of Purchasing and ICT to name but two examples. In addition, Trevin offers support with regard to sharing knowledge and innovations. The organisation works with the Esize procurement solutions for defining and sharing information about suppliers and contracts.
The challenge: having a grip on contracts
Trevin can register and monitor supplier contracts centrally with the Contract Management module where monitoring takes place based on, for example, contracts coming to an end. This ensures that Trevin avoids tacit contract extensions, renegotiations can take place on time and agreements can be better shared with the users within the organisation. This ensures there is more grip on supplier contracts and more transparency in the purchasing process.
Sharing information simply
When contracts are concluded jointly, it is very important that the made agreements are communicated effectively and easily to the employees of the three housing associations. This ensures that the organisation can better steer based on quality and make the best use of the economies of scale. "The different organisations, departments and employees often have their supplier agreements and contracts in Excel sheets. Now we have joint insight and we can strive for better agreements with our suppliers because of the central registration," says Harco Bouwman, Procurement Manager Trevin. "Ultimately, we wish to have insight into our spending with one click of a button with the goal of saving on costs and increasing transparency and to act upon this as a professional procurement organisation"
The path to implementing improvement
Trevin has drawn up an extensive list of preferences and requirements for the system. Multiple suppliers have been compared to each other within this context. Ultimately, Trevin opted for Esize. The most important reasons to opt for this partner are the partnership with AVE Services and a number of other Dutch housing associations, standardised software based on SoftwareasaService (SaaS), a good fit with the requirements and preferences of Trevin (including user friendliness), favourable pricing and low TCO (Total Cost of Ownership) and a focus on supplier's product development.
Getting started
Trevin lost no time. They started to import their contracts as quickly as possible to get a grip on supplier agreements rapidly. "We made a conscious choice with regard to this system because of its scalability, extensive functions and the experience and professionalism of Esize as an organisation," says Harco Bouwman.
First step to a professional purchasing organisation
The ambition level at Trevin is high. Contract and supplier management are a first step. Further automation of purchasing-related business processes such as project management, ordering, hiring external staff and invoice processing is part of the possible options. "We can see the further options and wish to get started with them as soon as possible to ensure we can optimise our procurement processes even more."
